McNova Cloud is a school management platform based in Antigua and Barbuda, operated by McNova Solutions Ltd ("McNova," "we," "us"). McNova Cloud is built to serve schools across Antigua and Barbuda and, as we grow, other schools throughout the wider Caribbean region. This notice applies to every school, staff member, parent, guardian, and student who uses McNova Cloud, regardless of which school they belong to.
Each school using McNova Cloud is the data controller for the personal data of its own students, parents, guardians, and staff. The school decides what data is collected and why, consistent with its own enrollment, academic, and safeguarding obligations. McNova Solutions Ltd acts as the data processor: we process that data only on the school's behalf, following the school's instructions and the agreement between McNova and the school, and we do not use it for our own independent purposes.
Separately, we act as a data controller for a smaller set of "other data," meaning information from people who are not yet part of a McNova school, such as a Ministry of Education contact, a prospective school administrator requesting a demonstration, or a visitor to our website.
Student data: full name, date of birth, sex, community/parish or address, guardian information, medical information (allergies, disabilities, medications, emergency instructions) where a school chooses to record it, academic history, photos, and school records (grades, attendance, honour roll status, house or class assignment).
Guardian/parent data: name, relationship to student, contact information (phone, email), community/parish, occupation.
Staff data: name, role, contact information, subjects/classes assigned, login credentials.
Prospective school / partner data: when a Ministry, school leader, or other organisation contacts us about adopting McNova Cloud, we collect the information they provide (name, role, organisation, and contact details) to respond to that inquiry.
Automatically collected data: IP address, device and browser information, and submission timestamps, used for security, spam prevention, and diagnosing technical problems.

We do not sell personal data, and we do not use student, guardian, or staff data for advertising.
Where a school submits data to us as its processor, our basis for handling that data is the agreement between McNova and the school, together with the consent the school itself obtains from parents or guardians at registration. Where we act as a controller (for example, an inquiry from a Ministry official or prospective school), our basis is either your consent in contacting us, or our legitimate interest in responding to and following up on that inquiry. You may withdraw consent for any processing that relies on it at any time by contacting us.
McNova Cloud uses encrypted (HTTPS) connections throughout, role-based access controls that limit each staff member to the data relevant to their role and their own school, separation of data between different schools on the platform, audit logging of significant actions, bot/spam protection on public-facing forms, and ongoing security review of the platform. We do not store payment card or banking information on our servers.
Student, guardian, and staff records are retained for as long as a school's McNova Cloud account is active, and for a reasonable period afterward consistent with standard academic record-keeping practices and any retention period a school is itself required to follow under its own regulations. Registration submissions that are never approved by a school are not retained indefinitely. Where a school instructs us to delete or return its data, we will do so, subject to any retention we are separately required to observe by law.
As a Caribbean-focused platform, the schools we serve, and the infrastructure we use to host McNova Cloud, are not always located in the same country. Personal data may therefore be transferred to, and processed in, a country other than the one where you or your school are located, including outside Antigua and Barbuda. Where this happens, we take reasonable steps to ensure the receiving provider maintains an appropriate standard of protection for that data.

These providers process data solely to support McNova Cloud's operation, under terms that restrict them from using it for their own purposes. We may also disclose information where required by law, or in connection with a genuine change of control of McNova Solutions Ltd, in which case this notice would continue to apply to the data concerned.
You have the right to access the personal data we hold about you or your child, request corrections to inaccurate data, request deletion (subject to a school's legitimate record-keeping requirements), be informed about how your data is used, and object to certain processing. Because schools control the personal data of their own students, parents, and staff, a request relating to that data should generally be directed to the school first; we will support the school in fulfilling it. McNova Cloud collects data about students, who are minors, with parent/guardian consent obtained by the school at the point of registration. This data is used solely for legitimate educational administration by the school and is not used for marketing to children.
McNova Cloud includes an AI-powered assistant, Nova, and AI-assisted features such as document scanning for assessments, which use Anthropic's Claude AI models to process information and generate responses. These are automated systems, not human staff members, and the data sent to them is used only to provide the requested feature.
